Policies & Procedures
Welcome to Summit Grove! Please read and acknowledge these policies and procedures before finalizing your booking. Your payment of the booking deposit is considered your express agreement to all policies outlined in this document.
BOOKING &
CANCELLATION
POLICY
-
A 50% deposit is required at the time of booking to secure your reservation.

Cancellations must be made at least 60 days prior to the event date to receive a deposit refund.
-
Cancellations made less than 60 days but more than 7 days prior to the event will forfeit the deposit.
-
Cancellations made less than 7 days prior to the event will result in no refund of the entire booking fee.
ALCOHOL &
BAR POLICY
-
No outside alcohol is permitted on the premises (exception: on specific Holidays (Thanksgiving, Christmas Eve, Christmas, & Easter) rentals for family gatherings booked at least 60 days in advance & pre-approved by Summit Grove. Inquire for more details & rules.)

Bar services are available and must be provided exclusively by Summit Grove staff.

The bar area is restricted to staff only. Rental guests are not allowed behind the bar at any time. You may use the bar counter (accessed from event side) for staging decor, merchandise, etc. Food should be staged on tables to avoid spills behind the bar.
FOOD &
CATERING

Renters are welcome to bring their own food or caterer.

Table coverings can be provided for an additional fee, or you may bring your own. Inquire for details & pricing.

We do not provide kitchen utensils, napkins, or table & drinkware. Please bring your own as needed.

Summit Grove does not provide refrigerator access. We encourage renters to bring their own coolers for food and beverages.
FURNITURE &
DECOR
-
Tables and chairs can be arranged to suit your event but must be returned to their original layout at the end of your rental period.

Guests may decorate the space as they like, but all decorations must be removed by the end of the rental period.

Prohibited Decorations:

Open flames or candles (except for limited-use cake candles).
-
Loose glitter or confetti. Decorations with glitter or confetti must be fully cleaned up.

Prior approval is required for hanging decorations from walls or ceilings. Nothing can be hung from fixtures.

If artistic materials (e.g., paint, markers) are used, renters must provide drop cloths and protective coverings. All messes must be fully cleaned up.
FACILITY USE

Guests may use TVs and guest WiFi during their rental. Renters must log out of any streaming apps before leaving. Summit Grove is not responsible for charges incurred on apps or for hacking incidents.

The thermostat may only be adjusted by Summit Grove staff upon request.

The outdoor patio space is shared with a neighboring business and is not for exclusive use.

Renters and their guests must respect neighboring properties and businesses at all times.

Renters must seek prior approval from Summit Grove staff for opening the glass overhead door. Permission is at the discretion of our staff and will be contingent upon factors such as weather conditions, type of event, reason for opening, concern with insect management, or other reasons. Please discuss this with our team ahead of your event if you feel it is desired.

NO SMOKING OR VAPING IN THE BUILDING OR ON OUR OUTDOOR PATIO. Any guests that wish to smoke or vape must do so off the premises.
DAMAGES &
VIOLATIONS

Renters are responsible for any significant damage caused to the venue or its property. Damage costs will be charged back to the renter.

Violations of these rules may result in the immediate termination of your event and potential banning from future rentals.
CLEANNG
REQUIREMENTS
All renters must complete the cleaning checklist before the end of their rental period. Failure to do so may result in additional charges. Cleaning supplies will be provided in our storage closet. The cleaning checklist includes but is not limited to:

Taking all trash to the provided dumpsters (including restroom trash).

Sweeping floors and spot-cleaning spills with provided cleaners.

Wiping down all tables and counters.

Ensuring bathrooms are clean (toilets flushed & wiped down, sinks & mirrors wiped down, no messes or marks on walls, sweep and spray mop floors especially around toilet).

Wipe down front & back door with glass cleaner & paper towel. Spot clean any smudges on the windows.
-
Tidying outdoor spaces and returning any furniture back to its original spot.
-
Turning off all lights and TVs.
-
Locking all doors before departure with the Alan Wrench key provided in the guest basket.
